Structured approach to task management within the UTA system, designed to streamline project execution and enhance member engagement through clear protocols and systematic management.

1. Task Identification

  • Source of Tasks: Each project is overseen by a Project Ace, responsible for defining and approving tasks. Projects typically follow sprint methodologies or set completion dates to maintain momentum and clarity.

  • Listing and Categorization: All tasks are pre-defined and cataloged in the Universal Task Array (UTA) with specific Task IDs, categorized by required skills, skill levels, and urgency. This system facilitates the development of project templates, improves analytics, and deepens understanding of workflow processes.

2. Member Access and Visibility

  • Task Visibility: Tasks are made visible to members via the SEAMS app dashboard, where they can access tasks that match their skills, historical involvement, and interests.

  • Access Controls: Task selection is tailored based on task complexity and the member’s role within the organization. Simpler tasks such as community cleanups are open for self-selection, while more complex tasks require managerial assignment.

3. Task Selection Process

  • Voluntary vs. Assigned: Members are empowered to choose tasks based on their interests and capabilities, or are assigned tasks to ensure strategic alignment with project needs and organizational goals.

  • Selection Criteria: The dashboard integrates with external calendars to prevent scheduling conflicts and prioritizes tasks based on a member’s skill match and location, promoting optimal engagement and development.

4. Project Evaluation Framework (PEF)

  • Community Impact Assessment (CIA): This component assesses the impact of projects within the community, identifying key areas for improvement and potential for further engagement.

  • Project Evaluation and Reflection (PER): Focuses on extracting valuable insights from completed projects to refine and enhance future initiatives.

5. Confirmation and Accountability

  • Task Claiming: Through the SEAMS app, members claim or are assigned tasks, solidifying their responsibilities and promoting accountability within the project management framework.
